Connected Classroom Storage Policy

Teachmint Connected Classroom — Storage Policy

Applies To: All Digital Classrooms created via Teachmint Interactive Flat Panels on the Connected Classroom platform

1. Purpose

Connected Classroom is Teachmint's overall platform for digital and hybrid classroom delivery. Within this platform, a Digital Classroom is created and operated through a TeachmintX Interactive Flat Panel — the classroom hardware/software combination through which teachers deliver lessons, record content, and manage classroom activity.

This policy defines the terms under which Teachmint provides free storage to educational institutions, teachers, and administrators for Digital Classrooms created via TeachmintX Interactive Flat Panels on the Connected Classroom platform. It sets out the storage entitlement period, what counts toward storage, the Fair Usage Policy (FUP) that governs this entitlement, and the actions Teachmint may take in cases of excessive or non-compliant usage.

This policy is designed to ensure the free storage benefit remains sustainable, equitable, and available to all users in good standing, while protecting platform performance and security for the broader Teachmint community.

2. Definitions

Term

Meaning

Connected Classroom

Teachmint's overall platform for digital and hybrid classroom delivery, encompassing all Digital Classrooms, content storage, and related services.

TeachmintX Interactive Flat Panel

The interactive flat panel hardware and bundled software through which a Digital Classroom is created, and through which teachers deliver lessons, record sessions, and upload classroom content.

Device Activation Date

The date on which a TeachmintX Interactive Flat Panel is first activated/commissioned on the Connected Classroom platform. This date starts the 3-year Program Eligibility Window described in Section 3.6.

Digital Classroom

A virtual classroom created within the Teachmint Connected Classroom ecosystem via a TeachmintX Interactive Flat Panel, most typically one per subject being taught in a given class/section. This is the unit to which the storage entitlement in this policy applies.

Free Storage Period

The 12-month period, starting from the date a Digital Classroom is created, during which storage is provided free of cost.

Fair Usage Policy (FUP)

The set of usage thresholds and behavioral guardrails described in Section 5, intended to prevent abuse of the free storage offer.

Storage Content

Any file, document, video, image, recording, assignment, or other data uploaded to or generated within a Digital Classroom, including content captured or synced directly from a TeachmintX Interactive Flat Panel.

Active Classroom

A Digital Classroom with at least one login, upload, or content-access event within a rolling 90-day window.

Dormant Classroom

A Digital Classroom with no activity for more than 90 consecutive days.

3. Free Storage Entitlement

3.1. Every Digital Classroom created via a TeachmintX Interactive Flat Panel on the Connected Classroom platform is entitled to free and unlimited storage for a period of 12 months from its date of creation, subject to the Fair Usage Policy in Section 5.

3.2. "Unlimited" refers to the absence of a fixed storage cap in gigabytes/terabytes under normal usage patterns. It does not mean unrestricted or unmonitored use, and remains subject to the fair usage safeguards described below.

3.2.1. Reservation of Right to Introduce Caps. Storage is offered as unlimited (subject to Fair Usage) at the current stage of platform scale. As the number of active Digital Classrooms and overall platform usage grows, Teachmint reserves the right to introduce a defined storage cap, revise fair usage benchmarks, or otherwise adjust the effective storage terms for new Digital Classrooms created after such a change takes effect, in accordance with Section 8. Any such change applies only to Digital Classrooms created after the change's effective date and will not apply to, or reduce storage for, Digital Classrooms created before that date — including for the remainder of their ongoing 12-month Free Storage Period.

3.3. The Free Storage Period applies per Digital Classroom, not per institution, per panel, or per user account. An institution operating multiple TeachmintX panels — and therefore multiple Digital Classrooms — will have each classroom's 12-month entitlement calculated independently from its individual creation date, regardless of whether multiple classrooms share the same physical panel.

3.4. The entitlement covers storage of standard teaching and learning content, including but not limited to: lecture recordings, class materials, assignments, presentations, worksheets, and images uploaded or synced through the Connected Classroom platform via the TeachmintX Interactive Flat Panel.

3.5. Where a single TeachmintX Interactive Flat Panel is used to create and run multiple Digital Classrooms (e.g., across different subjects, sections, or time slots), each such Digital Classroom is treated as a distinct entity for the purposes of this policy, with its own independent 12-month Free Storage Period and fair usage evaluation.

3.6. Program Eligibility Window. This free storage offer is available to Digital Classrooms created within 3 years of the TeachmintX Interactive Flat Panel's device activation date (i.e., the date the panel is first activated/commissioned on the Connected Classroom platform). Digital Classrooms created within this 3-year window remain eligible for their full 12-month Free Storage Period even if that 12-month period extends beyond the 3-year window's end date. Digital Classrooms created on that panel after the 3-year eligibility window closes will be governed by whatever storage terms are in effect at that time, which may differ from this policy.

4. What Happens After 12 Months

4.1. Upon completion of the 12-month Free Storage Period, the Digital Classroom will transition to a post-entitlement storage plan, which may include:

  • A revised storage allowance under Teachmint's standard (paid) storage tiers, or
  • A grace period of 3 months during which the institution/teacher may upgrade, archive, or download existing content.

4.2. Teachmint will notify Digital Classroom owners at 60 days, 30 days, and 7 days before the expiry of the Free Storage Period, and again at the start of the 3-month grace period, via in-app notification and registered email/contact.

4.3. Institutions may renew or extend free storage eligibility only where explicitly offered through a separate renewal, promotional, or subscription program communicated by Teachmint.

5. Fair Usage Policy (FUP)

The Free Storage Period is intended to support genuine classroom teaching and learning needs. To keep this benefit sustainable for all users, the following fair usage conditions apply:

5.1 Permitted Use

  • Storage of content directly related to classroom instruction, assessment, and student engagement.
  • Reasonable volumes of recorded lectures, live class recordings, and supporting materials proportional to actual classroom activity (e.g., number of enrolled students, class frequency, and subject matter).

5.2 Usage Thresholds and Monitoring

  • Teachmint reserves the right to define indicative fair usage benchmarks (e.g., average storage consumption per active student, per class, or per month) based on platform-wide usage patterns, and to review Digital Classrooms whose usage significantly and consistently exceeds these benchmarks.
  • Storage usage is monitored on an ongoing basis. Digital Classrooms flagged for unusually high usage relative to comparable Digital Classrooms (similar batch size, subject, and activity level) may be reviewed for compliance with this policy.

5.3 Restricted / Prohibited Use

Free storage under this policy may not be used for:

  • Storing content unrelated to teaching or learning (e.g., general administrative records, personal files, unrelated media libraries, or general-purpose cloud storage/backup).
  • Bulk uploading of duplicate, redundant, or filler content intended primarily to consume storage.
  • Hosting or distributing copyrighted material without authorization.
  • Storing illegal, harmful, offensive, or content that violates Teachmint's Terms of Service or Acceptable Use Policy.
  • Using a single Digital Classroom as a proxy to store data for unrelated third parties, other institutions, or commercial purposes outside the Digital Classroom's stated use.
  • Automated or scripted uploads not tied to genuine classroom activity.

5.4 Dormant Classroom Handling

  • Classrooms that remain Dormant (no activity for 90+ consecutive days) may have stored content archived to lower-priority storage, with restoration available on request.
  • Institutions will be notified before any archival action is taken, with an opportunity to reactivate the Digital Classroom.

5.5 Multiple Classrooms / Institution-Level Usage

  • Institutions creating an unusually high number of Digital Classrooms (whether across one or multiple TeachmintX panels) relative to their actual teacher/student count, apparently to multiply free storage entitlement, may be subject to review and consolidation under a single institutional storage plan.

6. Enforcement and Consequences of Non-Compliance

6.1. Where a Digital Classroom is found to be in breach of this Fair Usage Policy, Teachmint may, at its discretion and with prior notice (except in cases of illegal content, which may be actioned immediately):

  • Issue a warning and request remediation within a specified period.
  • Restrict further uploads until usage is brought within fair usage guidelines.
  • Migrate the Digital Classroom to a paid storage tier reflecting actual usage.
  • Archive or restrict access to non-compliant content.
  • In serious or repeated cases, suspend the Digital Classroom's free storage entitlement.

6.2. Teachmint will make reasonable efforts to notify the Digital Classroom owner and provide an opportunity to respond or remediate before taking restrictive action, except where content violates law or poses security/safety risk.

7. Data Retention and Deletion

7.1. Content stored during the Free Storage Period remains the responsibility of the Digital Classroom owner/institution. Teachmint recommends periodic backup of critical content independent of the platform.

7.2. If a Digital Classroom's free storage entitlement lapses and no upgrade or action is taken within the 3-month grace period (Section 4.1), Teachmint reserves the right to archive or, after a further notice period of 30 days, delete stored content, subject to applicable data protection laws.

7.3. Deletion timelines and processes will comply with Teachmint's broader Data Retention Policy and applicable regional data protection regulations.

8. Changes to This Policy

Teachmint may revise this Storage Policy from time to time to reflect platform changes, capacity considerations, or regulatory requirements. Material changes will be communicated to users in advance via in-app notice or email. Continued use of the Connected Classroom after such notice constitutes acceptance of the updated policy.
